Annual Community Meeting / Proposed Changes to By-laws

Please join us for our annual community meeting. We will hold it online via Zoom on Saturday, October 2, 2021 at 3 pm.  If you wish to attend, please send us your email so we can send the meeting link to you.  On the agenda that day are the following proposed changes to the By-Laws.  We will also present our annual report for the year 2020.  We want to share one of the highlights with you now.  We are thrilled to let everyone know that during the past challenging year, your library circulated 11,000 books!!!! 8,984 from our bricks and mortar branch and 1,875 from our digital branch.  That represents a decrease of only 27% over 2019!  Thanks, everybody, for your steadfast and loyal support!   San Juan Community Library–Together We are Your Library!

            1.  Annual Meeting:  The annual meeting of The San Juan Community Library at BUCAPLAA shall take place no later than June 30th of each year.  Notice of the Annual Meeting shall be posted at the Library at least thirty (30) days before the Meeting.  Additional notice shall be made on the library website. Purpose of the meeting will be to elect new members to the Board of Directors and receive the Annual Report, which is prepared by the Executive Director.  Elections and other decisions will be based on the will of the majority of members present.
Change to:
The annual meeting of the San Juan Community Library at BUCAPLAA shall take place once a year. Notice of the Annual Meeting shall be posted at the Library fifteen (15) days before the Meeting.  Additional notice shall be made on the library website. Purpose of the meeting will be to elect new members to the Board of Directors and receive the Annual Report, which is prepared by the Executive Director.  Elections and other decisions will be based on the will of the majority of members present. 

Under Article III – Board of Directors item 1 

Treasurer:  The Treasurer shall be responsible for (the custodian of) reporting the financial situation of the Library to the Board of Directors.  The Executive Director shall be the custodian of all monies and shall deposit them in the bank account of the San Juan Community Library at BUCAPLAA.  The Executive Director shall prepare and provide monthly journal entries, records of deposit, and other pertinent accounting/tax information to the Treasurer and accountant of the Library. There shall be a Treasurer’s Report at every meeting of the Board of Directors and a written report to the membership at the Annual Meeting.  All checks of the corporation shall be signed by at least one (1) signature from the following: the President, the Treasurer, or the Vice-President. The Executive Director shall prepare a monthly check register to be signed by the Directors at their Board meetings.  Additionally, should the offices of the President and the Vice-President become vacant at the same time, the Treasurer shall chair the Board of Directors until such time as the remaining members of the Board of Directors name successors to these offices (interim officers) to serve until the next election of officers (i.e., Board Meeting following Annual Meeting of the membership).
